Important Notice

This cancellation and refund policy applies to all services provided by WOSAG including web development, mobile app development, SaaS solutions, hosting, and maintenance services. Please read carefully before engaging our services.

1. General Cancellation Policy

We understand that circumstances change. Our cancellation policy is designed to be fair to both parties:

  • Before Project Commencement: Full refund of any advance payment if cancelled within 48 hours of agreement signing
  • During Initial Planning Phase (First 7 days): 80% refund after deducting consultation and planning costs
  • After Development Starts: Refunds calculated based on work completed and resources allocated
  • After 50% Project Completion: No refunds available, but client retains all completed work

2. Service-Specific Cancellation Terms

Web Development Projects

  • Cancellation allowed up to the design approval stage with 70% refund
  • After development begins, refund based on milestone completion
  • Client retains all approved designs and completed features
  • Source code transfer subject to full payment of completed work

Mobile App Development

  • Cancellation during wireframing stage: 75% refund
  • Cancellation after UI/UX approval: 50% refund
  • After development sprint begins: Refund based on completed sprints
  • Testing phase cancellations: 20% refund of remaining amount

SaaS & Web Applications

  • Cancellation before architecture finalization: 70% refund
  • After backend development starts: Milestone-based refund calculation
  • Integration phase: No refunds, but completed integrations delivered
  • Monthly subscription services: 30-day cancellation notice required

Hosting & Maintenance Services

  • Monthly plans: Cancel anytime, no refund for current month
  • Annual plans: Pro-rated refund after 3 months (minus setup costs)
  • 30-day notice required for all hosting cancellations
  • Domain registration fees are non-refundable

3. Refund Eligibility Criteria

Refunds will be processed only if the following conditions are met:

  • Formal written cancellation request submitted via email
  • Request made by authorized representative of the client organization
  • All project materials and access credentials returned to WOSAG
  • No intellectual property violations or misuse of delivered work
  • Compliance with the terms of the service agreement

4. Non-Refundable Items

The following items are non-refundable under all circumstances:

  • Initial consultation and discovery session fees
  • Third-party licenses and subscriptions purchased for the project
  • Domain registration and SSL certificate costs
  • Third-party API integration fees
  • Completed and approved milestones
  • Rush delivery or expedited service charges
  • Training sessions already conducted
  • Custom plugin or theme purchases

5. Refund Processing Time

Once a refund is approved, processing times are as follows:

  • Bank Transfer: 5-7 business days
  • Credit/Debit Card: 7-14 business days (depends on bank)
  • UPI/Digital Wallets: 3-5 business days
  • International Payments: 10-15 business days

Refunds will be processed to the original payment method unless otherwise agreed upon in writing.

6. Client-Initiated Cancellations

If a client wishes to cancel a project:

  • Submit a written cancellation request to contact@wosag.in
  • Specify the reason for cancellation (helps us improve)
  • Schedule a final call to discuss handover of completed work
  • Settle all outstanding invoices for completed work
  • Receive a final project report detailing completed milestones
  • Refund will be calculated and processed within 15 business days

7. WOSAG-Initiated Cancellations

WOSAG reserves the right to cancel a project in the following situations:

  • Non-payment of invoices beyond agreed terms
  • Client fails to provide required materials after repeated requests
  • Unreasonable or abusive behavior towards team members
  • Discovery of illegal activities or content requirements
  • Client requests services outside our ethical guidelines

In such cases, full refund of unused advance payment will be provided after deducting costs for completed work.

8. Dispute Resolution

If there is a disagreement regarding cancellation or refund:

  • Step 1: Contact your project manager to discuss concerns
  • Step 2: If unresolved, escalate to senior management via contact@wosag.in
  • Step 3: Schedule a mediation call within 7 business days
  • Step 4: Both parties present their case with supporting documentation
  • Step 5: Independent review by WOSAG management team
  • Step 6: Final decision communicated within 10 business days

9. Modification of Services

If you wish to modify rather than cancel:

  • Project scope changes evaluated for additional cost or savings
  • Timeline adjustments agreed upon in writing
  • Change requests documented with revised quotation
  • No cancellation or refund needed for scope modifications
  • Modified agreement supersedes original terms

10. Force Majeure Situations

In case of unforeseen circumstances (natural disasters, pandemics, war, etc.):

  • Project may be paused without penalty to either party
  • Advance payments held in trust until situation resolves
  • Option to resume project when conditions normalize
  • Full refund available if resumption not possible within 6 months
  • No liability for delays or cancellations due to force majeure

11. Post-Cancellation Obligations

After cancellation is processed:

  • All project access credentials will be revoked
  • Confidentiality agreements remain in force
  • Client receives final deliverables for completed milestones
  • WOSAG retains right to showcase completed work in portfolio (unless NDA prohibits)
  • No further support or maintenance provided without new agreement
  • Domain and hosting services transferred or terminated as requested
